If you receive an error message while generating the External Timesheet Takeon (Pay2040) report, it means the system cannot identify a valid substantive appointment for the employee in the payroll data.
This issue often arises when the employee's appointment details are missing, incomplete, or incorrectly configured in the system. Without a valid substantive appointment, the system cannot link the timesheet data to the correct payroll record.
To resolve this, follow the steps below in Portal.
From the dashboard menu, select People Management.
Click Data Centre then beside People Management, click VIEW.
Under Employee Administration,click Substantive Maintenance.
From the Personnel No. dropdown field, select the relevant employee number.
Check that the substantive date and the main appointment for the employee are correct.
To save changes, click SAVE then reload the external timesheet takeon.
