Error: 'Position Code : [POSITION] Not Set Up On Position_Ref Table'

When running the Observation or View Gross to Nett report for an employee who has changed position and is not being paid, this error appears.

If you encounter this error when running the Observation or View Gross to Nett report, it indicates that the system cannot find or match the employee's position code in the position reference table.

To resolve this, follow the steps below based on your identified cause.

No position reference in the system

To check whether a position reference exists in the system, follow the steps below.

  1. Review the error message in the Observation report and take note of the position code mentioned.

  2. Click Settings then click Position Reference.

  3. In the Search field, search for the position code mentioned in the report.

  4. If no results are returned, the position does not exist, proceed to create new position reference.

  5. If results are returned, check the position code for any leading or trailing spaces. If yes, proceed to remove spaces from the position code.

Create missing position reference

If the position reference doesn't exist but should be in the system, follow the steps to configure pay scales.

Once the position has been created, re-run the employee's payslip and check the results. Verify that the Observation error no longer appears.

Remove spaces from position code

If the position reference exists but contains leading or trailing spaces, follow the steps below.

  1. Click Settings then click Position Reference.

  2. In the Search field, search for the position code mentioned in the report.

  3. Click the three dots icon then click Edit.

  4. In the Position Code field, remove any leading or trailing spaces.

  5. To save your changes, click OK.

  6. Re-run the employee's payslip and check the results

  7. Verify that the Observation error no longer appears.

Incorrect or invalid position reference assigned to the employee

Check there is no invalid position assignment in the employee record.

If the employee has been assigned an incorrect or invalid position reference, follow the steps below.

  1. Process a salary amendment to assign the correct position to the employee.

  2. Once the amendment is complete and approved, re-run the employee's payslip and check the results

  3. Verify that the Observation error no longer appears.
