Portal access to the online P45 after an employee has left

Steps to enable former employees to access their P45 or P60 documents online.

When an employee leaves the organisation, they could require access to important tax documents such as their P45 or P60.

To provide this access, a leaver profile must be setup. To do this, follow the steps below in portal.


Create a leaver menu profile

To create a leaver menu profile, follow these steps.

  1. From the dashboard menu, select Security Dashboard.

  2. Click Menu Profiles then click CREATE NEW PROFILE.

  3. Create a new profile specifically for leavers.

  4. Remove access to any features that leavers should not use.

Configure the leaver access profile

To configure the leaver access profile, follow these steps.

  1. From the dashboard menu, select People Management.

  2. Click Data Centre then click HR Admin Setup Settings.

  3. Click Access Profile Configuration.

  4. To create a new access profile, click Add.

  5. Enter the required details then check the Leaver Profile option.

  6. On the next screen , Assign the Leaver menu profile created.

Check P45 widget for leaver profile

To check the tab widgets to see if P45 is enabled, follow these steps.

  1. From the dashboard menu, select Admin Dashboard.

  2. Click Site Manager.

  3. Beside Dashboard Configuration, click Open.

  4. Check the tab widgets to see if P45 is turned on.

  5. Locate the P45 widget, then click Configure.

  6. Check the leaver menu profile is enabled for this widget.

Assign leaver access to the employee

To assign the leaver access to the list of tasks for the employee, follow these steps.

  1. From the dashboard menu, select People Management.

  2. Click Dashboard then beside Employees, click VIEW.

  3. Search for the relevant employee then click VIEW.

  4. Click Task List-Leaver then assign leaver access.

  5. If this option is missing, check the following screen:

    1. From the dashboard menu, select People Management.

    2. Click Data Centre then click View All.

    3. Click HR Tasks Lists then click the Leaver tab.

    4. Click Add then from the Task drop-down menu, select Assign Leaver Access.

    5. Click SAVE.

  6. Select the appropriate leaver profile, then click START.

  7. The assigned menu profile and expiration details will be displayed on screen.

  8. Click COPY ACCESS.

πŸ“ŒNote: Currently, the system does not support excluding specific employees from the P45 release using the standard "Release P45" functionality. As a workaround:

  • Remove or assign a different menu profile that doesn't include the P45 widget enabled.

  • This ensures the employee will not see or access their P45.
