If this error appears when you attempt to load new position rates for employees, it may be due to one of the following reasons below.
We’ve compiled a list of possible reasons and how to resolve them.
Reference field
The employee has a reference entered in the Reference field on the Load Position Rates of Pay screen. If you hover over this field and see the following message: "Enter a reference which will be used to identify the current records being loaded (leave blank if reference is specified on the file) or to identify previously loaded records to be deleted".
To resolve this issue, follow the steps below.
Check the file format, layout and data is correct.
Check that the user has the correct access to the Core Data Talk Menu within CoreSecurity in Back Office or access to Uploads in Portal Security.
On the Load Position Rates of Pay screen, check the Reference field, this should be blank.
The position rates are already recorded on the Load Position Rates of Pay File as the Reference.
Load the file again.
Invalid characters
The file reference contains invalid characters. To resolve this, leave the File Reference field blank and upload again.
Missing zeros
There are leading zeros missing from the file (e.g. Employee Number/Reference). To resolve this, follow the steps below.
Open the spreadsheet file then highlight the relevant column.
🤓Tip: For example, column A refers to Employee Number > Right-click > Format Cells > from the Number tab, select Text.
Enter the leading zeros that are missing then save the file.
Close the file then reload the file.
📌Note: Once you have added the leading zero's into the spreadsheet and closed the file, don't open the file in Excel after changing. We recommend you open this file in Notepad to check if the leading zero's remain.
