Bulk loading allowances is not a mandatory or standard step in payroll processing. Instead, it serves as a helpful tool to simplify everyday payroll tasks.
You can perform a bulk allowance upload at any time to add new records or apply changes. However, these changes need to be made before payroll processing begins to ensure the system picks up the new data.
This functionality is useful when creating multiple new allowances. Instead of manually entering allowance records for each employee, you can use a CSV file to perform a bulk update efficiently.
CSV file requirements
The CSV file should include the following:
The file will need to contain 4 columns with no headers and no blank columns.
Column details:
Employee number (mandatory)
Pay code (mandatory)
Standard value (mandatory) - correct to 2 decimal places
Appointment ID (optional)
πNote: Check that there is no blank line at the end of the file. To check, open the CSV file in Notepad, remove any trailing lines, then save the file.
Upload file
To upload the CSV file, follow the steps below in portal.
Click Uploads then under Employee Uploads, click Load New Allowance Details.
In the End Date field, enter a date.
π€Tip: End date for the existing allowance record when it is replaced.
In the Start Date field, enter a date.
π€Tip: The date from which the new allowance should begin.
To upload file, click Load.
To save file, click OK.
