What is a project code and what impact does it have on an employee's record

What is a project code?

A project code is a character alphanumeric code, used to represent a project that an employee may be assigned to, and is used for reporting and/or General Ledger purposes. Project codes are not mandatory.

In PeopleXD, a project code can be set in the employee’s appointment/contract record in People Management.

📌Note: If a cost allocation is added to an employee’s record, or a project code has been specified on a manual timesheet entry, this takes precedence over the project code on the employee’s appointment/contract.


People management

To set a project code on an employee’s appointment/contract record, follow the steps below. You can also view existing project codes here.

  1. From the dashboard menu, select People Management.

  2. Click Dashboard then beside Employees, click VIEW.

  3. In the Search field, search for the employee, then click VIEW.

  4. Click Contracts then beside the relevant appointment, click Update.

  5. Click Next then in the Effective Date field, enter the relevant date.

  6. In the Project field, enter the project code.

  7. In the Reason field, enter a reason then click SAVE.

Cost allocation

Alternatively, you can set a project code using a Cost Allocation. To do this, check the HR Cost Allocations user guide.

Add project codes

To add a new project code, follow these steps.

  1. From the dashboard menu, click People Management Dashboard.

  2. Click Data Centre then click View All.

  3. In the Search field, search for Project Codes then click Project Codes .

  4. Click Add then enter the project code and description.

  5. If required, update other fields then click Save.

  6. Click OK.


Workforce management

To set a project code against timesheets in the Workforce Management module. For example, you can allocate 3 hours to Project Code A, and 5 hours to Project Code B.


Payroll dashboard

To set a project code against timesheets in the Workforce Management module. For example, you can allocate 3 hours to Project Code A, and 5 hours to Project Code B.
