Closing off your payroll tax year in PeopleXD Payroll requires you to run the year end cleardown. You need access to all pay groups within the company before you begin. When you run the cleardown, it:
Moves the payroll company into a new tax year.
Clears down the year to date values for all employees.
Moves the year to date values from the completed tax year to the end of year table.
Creates a payroll calendar for the next two years.
Complete the year end cleardown
To complete the year end cleardown, follow the steps below in Portal.
Click Year End then, for the relevant company, click Manage.
Click Yearend Cleardown then select the company.
Confirm that all pay groups are complete for the tax year.
Click OK then click OK.

Year end payroll processing in PeopleXD can sometimes present challenges related to warnings and access permissions. Below, we address two common issues and their resolution to help you navigate the process smoothly.
Year end processing warning and indicators
Issue: 'Not Ready to Run' warning
During year end processing, you may encounter a warning such as '50% Not Ready to Run'. This indicator reflects the proportion of pay groups under a company that haven't reached their final period. For example, if a company has two pay groups and one is dormant, the system will display a 50% readiness status. This behaviour is expected and doesn't block the year end process.
Resolution
You can proceed with the year end process even if this warning appears. The dormant pay group will remain in its current state indefinitely and will not advance to the next input or payroll period. This ensures that the year end process is not hindered by inactive pay groups.
Pay group access requirements for year end
Issue: Insufficient access to pay groups
If a company has multiple pay groups assigned, you need to have access to all of them to process the year end. For instance, having access to only one pay group out of several will prevent you from completing the year end process for the company.
Resolution
To resolve this issue, request your superuser to grant you access to all pay groups associated with the company. Once access is updated, you can retry the year end process without any restrictions.
