Overview of the functions of the key Payroll views within Insight.

Function of View

Allowance Profile Details

Contains information on the Employee Allowances as per the Maintain Employee Allowances screen on CorePay. Some of the key items available in this folder include, ‘Allowance Value’, ‘Balance Due’, ‘Allowance Cost Centre’, ‘Pay Code’, ’Start Date’, and ‘End Date’. This folder also includes standard employee details such as name, cost centre details, scale point, PPS number etc.
Note: This folder will not provide you with a payment history for particular allowances. It only contains the details of particular allowances that employees have been set up to receive. It also shows allowances that are no longer active i.e. where the end date is in the past.
If you wish to see the payment history of an allowance, please see Pay History Details.

Audit Details

Contains information on the audited changes made by Usernames and by the Payroll Process to Field Names in Payroll. This folder allows users to audit changes that are made. For example, if a user wants to create a report showing what changes were made to an employees pay scale, who made the changes, and when the change was made, then this folder can provide that data.

BIK Deduction Profile Details

Contains information on the Employee BIK Deductions as per the Maintain Employee BIK Details screen in Payroll. Some of the key items available in this folder include, ‘Value’, ‘Start Date’, ‘End Date’, ‘Pay Code’. This folder also includes standard employee details such as name, cost centre details, scale point, Pay Group etc.
Note: This folder will not provide you with a payment history for particular BIK deductions. It only contains the details of BIK deductions that have been set up against particular employees. It also shows BIK deductions that are no longer active i.e. where the end date is in the past.

Cost Allocation Details

Contains details of employees who are allocated across multiple cost centres. This will allow users to report on the allocation for each employee including the following details, ‘Alternative Cost Centre’, ’Percent’ (i.e. allocation percent), ‘Expense Code’. This folder also contains standard employee details such as ‘Pay Group’, ‘Location’, ‘Category’, ‘Pay Scale’.

Deduction Profile Details

Contains information on the Employee Deductions as per the Maintain Employee Deductions screen in Payroll. Some of the key items available in this folder include, ‘Deduction Value’, ‘Balance Due’, ‘Capital Sum’, ‘Cumulative Amount’, ‘Start Date’, ‘End Date’, ‘No. Of Deductions’, ‘Pay Code’. This folder also includes standard employee details such as name, cost centre details, scale point, PPS number etc.
Note: This folder will not provide you with a payment history for particular deductions. It only contains the details of deductions that have been set up against particular employees. It also shows deductions that are no longer active i.e. where the end date is in the past.

Pay Code Reference

This is a reference folder which will allow users to report on all the pay codes that are currently set up within Core, along with the Analysis Code and Analysis Type they belong to. Some of the key items in the folder include, ‘Pay Code’, ‘Analysis Code’, ‘Analysis Type’, ‘Maximum Value’, ‘Minimum Value’, ‘Multiplier’.

Pay Scale and Rate Detail

This folder contains information on the Pay Scales, Scale Points and Rates of Pay as per the Maintain Position Rates screen in Payroll. This folder is unique in that it does not hold any employee information, and is not used to identify the Position & Point of an employee. It just contains details about particular pay scales and rates, and the date effective for each. It provides a history of changes to scales and rates by a date effective.
For example, use this folder to show the rates of pay (annual, weekly, daily) associated with particular scale points.

Pay History Details

This folder contains information on the Pay Code history by Payroll Period as per the View History Details screen in Payroll. This is probably the most commonly used folder. Use this folder when you want to see historic payments made to employees i.e. in previous payroll periods. It is important to note that any report created from this folder will contain multiple records for each employee i.e. for each payroll period new records are created for each employee.
Some of the most important and commonly used items in this folder are ‘Pay Code’, ‘Hours’, ‘Value’, ‘Payroll Period’. Also included are standard employee details such as name, cost centre details, scale point, PPS number etc.
Note: The most important thing to remember about this folder is that it contains a history of all payments made to employees.

Pension Payments

Contains Pay History information, however the item Pensionable Pay within, only gives the amount paid per Payroll Period that was Pensionable. Essentially, this folder will only include pay codes that are pensionable. Some of the key items available in this folder include, ‘Pay Code’, ‘Pensionable Pay’, ‘AVC Value’. The folder also includes some pension scheme details (e.g. Scheme Code, Scheme Name), and some standard employee details (e.g. Name, Date of Birth, PPS Number, Current Cost Centre).

Pension Scheme Details

Contains information on the Pension Scheme details as per the Maintain Pension Details on CorePay. Some of the key items available in this folder include, ‘Scheme Code’, ‘Employer Value’, ‘Employee Value’, ‘Start Date’, ‘End Date’. The folder also includes some standard employee details such as name, cost centre, rate of pay, and pay scale.
The important point to note is that this folder contains details about specific pension schemes. It will not provide a history of pension payments.

Person Position History

Contains information on the changes in Pay Scale, Scale Point and Rate of Pay for each payee (employee). The items available in this folder include, ‘Scale Point’, ‘Date Effective’, ‘Rate Sequence Number’, ‘Position’. Also included are some standard employee details such as name, date started, and employment status.
Use this folder to create reports showing an employees history of position changes, salary amendments etc.

Person Profile Details

Contains employee information including Rate of Pay and Cumulatives to date. It is important to understand that this folder contains only current information about employees. For example, ‘rate of pay’ in this folder is the employee’s current rate of pay. Also contains standard employee details such as name, employee number, date started, age, gender etc.
Note: Does NOT contain Pay Code history.

Summary Payment Details

Contains information on the Nett Payment values made to employees by Pay path (Credit Transfer) or Cheque. This folder will not provide a breakdown of payments by pay code, it will simply provide details of the nett amounts paid to an employee, and the payment method used i.e. Pay Path or cheque.
Some of the key items in this folder include ‘Bank Account No’, ‘Cheque Number’, Date Processed’, ‘Pay Method’, ‘Payment Value’. Also included are standard employee details such as name, PPS number etc.

Timesheet Details

Contains details of the Pay Code history by Payroll Period as per the View Timesheet Details screen in Payroll.
This folder contains payment details for a particular payroll run, once the timesheets have been generated. This differs from Pay History Details in that Pay History is only populated with payment details once the Payroll Update stage of the payroll run has been completed.

Notes:

  • Use Timesheet Details folder after the timesheets have been generated.

  • Use Pay History Details after the payroll update has been run.

Remember, this only applies for the current payroll run. Timesheet Details can be used to report on all previously run payroll periods.

Year End Cumulatives

Cntains information on the standard payee cumulatives e.g. Employee and Employers PRSI, after the year-end has been run. This folder will not provide a breakdown of payment details by pay code, or payroll period. It will simply provide cumulative figures for each employee, for any year that has been completed in Payroll.
For example, use this folder when you want to see the total Employers PRSI, Employees PRSI, and Pension to Date for a previous year, for each employee.
Also included are standard employee details such as name, PPS number etc.
Note: Contains cumulative figures AFTER year-end has been run.
