Create and transfer RTI Files

Steps to generate and transfer RTI files.

Creating and transferring Real Time Information (RTI) files is a crucial process for employers in the UK, ensuring that payroll information is reported accurately and promptly to HM Revenue and Customs (HMRC). RTI files contain essential data regarding employee earnings, tax deductions, and National Insurance contributions, submitted with each payroll run.

It is necessary to generate and transfer RTI files to comply with tax regulations and to maintain accurate records for reporting purposes.

To assist you create and transfer RTI files, please watch the instructional video or follow the steps outlined below.

  1. Click the Manage Payroll then highlight the relevant pay group.

  2. Click the Outputs tab then click RTI.

  3. Click Generate File then select either Live or Test mode.

  4. For File type, select one of the following:

    • EAS

    • FPS

    • EPS

    • EYU

  5. Fill in the fields then click Generate.

  6. Go to the Report Centre and review the file.

  7. If the file was generated in Live mode, return to the RTI screen and click Transfer.

  8. Once the status updates to Accepted, click Confirm to remove the record from the screen.

    ⚠️Important: If there is a delay in receiving the Accepted status from HMRC, for example due to an HMRC outage, click CHECK STATUS. This re-checks the submission status with HMRC and updates the display once a response is available. If the HMRC website is experiencing difficulties, click CHECK STATUS multiple times until the status updates.
