Configure file definitions for our financial management system

Steps to set up your file definitions (Journal file) for your financial management system.

In PeopleXD, the file definition feature allows you to configure how output files are structured, ensuring they meet the format requirements of your financial management systems(FMS).

You can customise the different parts of the output file independently, including:

  • Header File: Defines the header section of the output file.

  • Detail File: Specifies the body content of the output file.

  • Footer File: Configures the footer section of the output file.


Set up journal file

To configure and set up a journal file for output to the FMS system, follow the steps below in portal.

  1. Click Settings then under General Ledger Costing, click General Rules & Settings.

  2. From the Select Detail drop-down menu, select File Definition.

  3. In the File Code drop-down menu, select a file code for your FMS.

    πŸ€“Tip: This code uniquely identifies your file. Generally, you'll have one single file code, but you can add more if necessary.

  4. In the Description field, enter the description of the file.

  5. Under Record Type, select the record type you wish to update e.g Detail Record.

  6. Choose from the list of available definition elements (costing fields).

    πŸ“ŒNote: The system displays accounting and costing fields in a grid at the bottom of the screen. PeopleXD pre-sets and maintains these fields, and you only need to use those relevant to your FMS. These fields link to Pay History. This screen also lets you define which fields appear on the GL.

  7. Fill the following fields :

    • Field: Select a definition element to include.

    • Posn: Choose the position you want the element to appear.

    • Size: You can adjust the field size if needed; this defines the number of characters the field can hold.

  8. To save changes, click Save.
