Generating a UK P45 is essential when an employee leaves an organization, as it provides details of their pay and tax contributions up to their leaving date.

The system automatically generates the p45_period_left when processing the leave date, provided the standard procedures have been followed.

If an amendment is necessary, the format should be YYYYWW, where YYYY represents the year and WW denotes the week based on the payroll period and calendar used for processing the employee. It is important to ensure that the paygroup is valid for the frequency associated with the employee’s paygroup.

If an employee's P45 is blank, this occurs because the leave date is set to today's date. To resolve this issue, follow these steps:

1. Run the Complete Update to make the employee fully dormant.

2. Generate the P45 as expected.

If the employee is dormant, check that the P45 period is correct. To do this, follow the steps below.

  1. Click Employee then in the search field, search for employee.

  2. Beside the relevant employee, click VIEW.

  3. Click Sundry Profile.

  4. In the P45 Left Period field, adjust the value if incorrect.

  5. Click SAVE then generate the P45.

Frequently asked questions

Does the P45 Left Period need to be a fixed number for all employees?

No, the P45 Left Period should reflect the specific payroll period in which the employee leaves, as defined in your payroll calendar.

Will changing the P45 Left Period affect FPS reported leave dates?

No, updating the P45 Left Period does not impact the leave dates reported on the FPS. Updating the P45 Left Period to the correct value does not affect other payroll reporting elements, such as the leave dates reported on the Full Payment Submission (FPS). This ensures that your payroll reporting remains accurate and compliant while resolving any P45 generation issues.
