Detailed Observation Report incorrect for supplementary payroll run

Find out why your detailed Observation Report shows incorrect Year-to-Date values during a supplementary payroll run.

Written by Onyema

If you are running a supplementary payroll and the Year to Date values on your Detailed Observation Report (PAYB300DET) have been increased by the Current Period values, the steps below will help you correct the report.

Why this happens

The detailed Observation Report can show incorrect figures when a Payroll Update job runs before the supplementary payroll run is completed.

⚠️Important: Complete your supplementary payroll run on the same day you run a Payroll Update job.

When you run a Payroll Update, the period values are committed to the Pay History. An overnight job then calculates the figures on the Detailed Observation Report. If a Payroll Update has been run but the supplementary payroll run has not been completed, the figures entered for that supplementary run are added to the Year to Date values on the report.

📌Note: This issue only affects the figures on the report. It does not affect payments to employees through the bank file or Real Time Information (RTI) returns, which are more than likely correct.

Correct the detailed Observation Report

If you need the report to show the correct Year to Date values, run the supplementary payroll again from scratch by following the steps below.

  1. Click Settings then click Pay Groups.

  2. Disable Supplementary Mode then click Save.

🤓Tip: This removes any payment details you previously entered for this supplementary run.

  3. Click Settings again then click Pay Groups.

  4. Enable Supplementary Mode, then click Save.

📌Note: This puts you back into supplementary mode.

  5. Input your supplementary mode figures as previously done.

  6. Process the payroll but do not run it in Payroll Update mode.

  7. Leave the overnight job to run.

  8. Run the payroll again the next day in Payroll Update and check the Detailed Observation Report.

  9. Complete the supplementary payroll run if everything looks correct.

Continue without correcting the report

If it is not necessary for the report to display the Year to Date values correctly, you can proceed with your supplementary payroll run as normal, so you don't need to re-input all your figures again.
